About the Student Mail Center

The Student Mail Center is located on the second floor of the A.K. Hinds University Center.

You can use your suite box key to check for mail anytime the University Center is open.

Window Hours for Student Mail Center

The hours for the window at the Student Mail Center are generally

10:30 am - 5:00 pm Monday - Friday

The window will be closed on holidays and hours will be more limited during university breaks.

Package Pick-up Requirements

To pick up your package at the student mailroom you will need an id with your photo (examples include your Cat Card, drivers license, state ID card or getapp. This is to ensure that we are handing off a package to the correct recipient.

If you wish for someone to pick your package up for you, an email to resmailsup@wcu.edu will be needed stating that you wish to allow this individual to pick up your package.

For packages where a full name is not printed or the recipient printed on the envelope/package is questionable, then you may be asked to provide a tracking number.

For any package that does not have a current residential student's name attached to it, these packages will be held for three days and then returned if we are unable to determine who they belong to, or if the recipient does not come to claim/collect the package.

Package Holding

We will hold packages for three business days unless stated otherwise due to breaks or school closures. In addition, you may notify us of a personal emergency and request your package be held longer. To make such a request, please email us at resmailsup@email.wcu.edu.

Forwarding Mail

We can only forward USPS packages. We can forward envelopes and USPS packages for a period of one semester once a student no longer lives on campus. All residential students should provide and ensure that their forwarding address is in their MyWCU account, and that it is accurate and up to date at the end of every semester. If you are graduating or moving off campus at the end of fall semester, please provide this in person at the mailroom where you will be provided a mail forwarding card that you can fill out and hand us to keep for our records.

Outgoing Mail

We do accept packages and envelopes to deliver to carriers for outgoing mail. Please see these important notes before brining outgoing mail to the Student Mail Center:

  • All packages and envelopes must have postage (stamps, pre-paid shipping label etc) before we will accept them.
  • Stamps and envelopes may be purchased at WCU’s Bookstore.

  • If you are unsure of the postage needed for your items to send out, we suggest that these items be taken to the Cullowhee Post Office located across highway 107 beside the Exxon gas station. There they can ensure that you have the right amount of postage necessary for your items to reach their intended destination.

  • For outgoing mail, please ensure that your name/suite box number and return address are placed in the upper left-hand corner of the envelope or package.

  • All envelopes may be placed in our drop slot which is located to the right of the front desk of the student mailroom.

  • Any outgoing packages will need to be handed to our mail staff at the front desk.

Mailboxes (Suite boxes) & Mail keys

Every residential student will receive a mailbox assignment and mail key when they move into on-campus housing. If you did not receive a mailbox or key when you moved in, please notify the Student Mail Center immediately and we will provide that to you (Note: There is a two week grace period at the beginning of every semester to notify us of this. Failing to notify us in this time period may result in a $25.00 charge to your student account which is the cost of re-keying the box).

Loss of this key will result in a $25.00 charge to re-key the box.

All students must return their mail key at the end of the acacemic year. If a student cancels their on-campus housing prior to the end of the academic year for any reason (graduation, withdrawal, study abroad, moving off campus, etc.) they must return the key on the date they move out. It is recommended that students return their key in person at the student mailroom and follow the posted return instructions (Note: You are responsible for the return of your key. Giving this responsibility to another individual, friend/RA etc. may result in a $25.00 charge to re-key the mailbox if they fail to return this in a correct or timely manner).

Preferred Name & Name Changes

At the beginning of every semester, the current residential roster is uploaded into our mailing system which contains your current legal name. If you wish to add a preferred name, nick name, or alias to your account, you will need to notify us of this each semester. It is recommended that you do so before ordering or receiving any mail using this preferred name, nick name, or alias to avoid any confusion or delays in your mail.
